Who is responsible for what when you delegate guest ops
Delegating the conversation does not delegate the liability. Here is where the line sits, and why any provider who blurs it should worry you.
There is a question owners rarely ask until something goes wrong, and by then it is the only question: when a stay goes badly, whose problem is it?
The answer is not comfortable, but it is simple. It is the owner’s. It stays the owner’s whoever answers the messages.
The distinction that matters
You are the host. The listing is in your name, the booking contract is between you and the guest, the property is yours, and the legal obligations that come with renting it out — licences, tourist registration, taxes, safety, insurance — are yours. None of that transfers because somebody else types the replies.
What a guest ops provider takes over is the work: answering, coordinating, issuing codes, replying to reviews, waking up at 3 a.m. so you do not have to. That is a real service and it changes your life. It does not change who the host is.
So when a guest breaks something, complains, demands a refund, damages the flat, disturbs the neighbours, or turns out to be a problem — the decision and the responsibility are yours. We handle it, we advise, we absorb the conversation, we brief your crew. But the property is yours and so is the call.
Why any provider who tells you otherwise is selling you something
If somebody offers to take on “full responsibility” for your guests, ask them what that means in writing. Usually one of three things is true:
- They mean they will deal with it, which is what we mean too, just described more loosely.
- They are a full management company charging 20–25%, and they have priced the risk in.
- They have not thought about it, and you will discover that during your first serious incident.
The third is the common one, and it is the expensive one — because a promise that was never real does not become real when you need it.
What we do commit to
We are precise about this because vagueness helps nobody:
- We answer your guests within 30 minutes, at any hour.
- We triage what happens and tell you what needs your decision, rather than bothering you with what does not.
- We brief your cleaner and your maintenance person directly, with the context already sorted.
- We do the work properly, and we are answerable for our own work.
What we do not do is become the host. We never attend the property, we hold no keys, we sign nothing with your guests, and the responsibility for the stay stays where it legally sits — with you.
Why this is better for you than it sounds
An owner who understands the line keeps control. Your listing, your rules, your pricing, your decisions on refunds and on which guests you accept. You are not handing your business to somebody else and hoping. You are hiring a team to do the part you dislike, on your terms, cancellable whenever.
The alternative — a provider who owns the responsibility — is a provider who owns the relationship. That is a different product, at a different price, and most owners want it a lot less than they think.
